Migration

A Surf Coast agency whose old provider wouldn’t let go

The problem: They had decided to move, and discovered that deciding was the easy part. The outgoing provider was slow to respond, charged for the work of handing over (hourly rates for the offboarding itself) and held the practical keys to a business that had to keep trading right through it. Every day of delay was a day of paying two providers and getting one.

What we did: Stopped treating their cooperation as a dependency. We mapped what the business actually ran on, worked out what we could stand up independently and what genuinely required a handover, and put the request in writing so the timeline was documented rather than argued about later. Then we built what we could in parallel, so the business was never waiting on a reply to keep working. Where fees were disputed, that stayed the client’s commercial call. Our job was to make sure the dispute never became an outage.

The outcome: They transferred, kept trading throughout, and have been on a GravIT managed contract since. The migration took longer than it should have, but not because anybody at their end was waiting on us.

Managed IT

A Geelong accounting firm

The problem: A practice of this size has no IT person and does not want one, but it has a server, a phone system, a copier, client data that has to stay private, and staff who cannot lose a morning to a laptop that will not log in. Everything works until it doesn’t, and then there is nobody to ring.

What we did: Put them on a fixed-price managed contract and took the lot: the support desk, the server, the phones, the Microsoft 365 tenancy and the security posture behind it. New starters arrive with a machine already imaged. People leaving have their access removed the same day. We work through Microsoft’s own recommended security actions rather than waiting for something to go wrong, and we track the loose ends (forgotten devices, unused accounts) as an open list rather than a memory.

The outcome: In the six months to August 2026 we closed 45 support requests for them and completed proactive security improvements they never had to ask for. Requests range from “my second monitor stopped working” to a new workstation build, a home-office laptop, a copier installation and a softphone rollout. That is the honest picture of managed IT. It is rarely dramatic. It is one thing after another, handled, so nobody in the practice has to think about it.

Microsoft 365

An advanced manufacturer

The problem: An engineering business that grew fast, with a technical workforce and, unusually, substantially more devices than people. Engineering workstations, test rigs and lab machines all need accounts, access and patching, and they do not behave like an office full of laptops. The usual small-business Microsoft 365 setup does not stretch to that shape.

What we did: Built their Microsoft 365 environment cloud-first, with no ageing on-premises directory to drag along, so identity, devices and policy are all managed from one place. Their whole fleet reports into our monitoring, and their security posture is measured against Microsoft’s own scoring rather than an opinion, so improvement is a number that moves rather than an assurance.

The outcome: A device fleet considerably larger than the headcount, centrally managed and visible, with identity risk and security alerts flowing to us rather than to nobody. When they add people or machines, the process already exists.

Web & hosting

A Geelong design agency

The problem: Design studios get asked to host the sites they build. Saying no sends the client elsewhere and risks the relationship; saying yes means becoming a hosting company, with servers, backups, SSL renewals and someone awake when a site falls over on a Sunday. Neither is what a design studio is for.

What we did: Gave them hosting under their own brand on our infrastructure. Their clients see the agency, not us. We run the servers, the backups, the SSL certificates and the WordPress updates, and the agency keeps the client relationship and the recurring revenue without hiring anybody or learning cPanel.

The outcome: A hosting line of business the studio does not have to staff. It is a model we now run for well over a dozen agencies and web designers. See hosting for web designers.
