AI Readiness & Adoption for Business

GravIT's AI readiness service works out where AI genuinely fits your workflow, does the data-security groundwork before anything is switched on, then trains your staff and manages the rollout. Practical adoption for Geelong businesses, with no hype and no leap of faith.

Where AI fits a small business

In the repetitive language work: drafting and polishing documents and emails, summarising long threads and meetings, answering questions from your own files, first-pass research. It doesn't replace judgement, and it's wrong often enough that outputs need an owner. An assessment separates the genuine time-savers in your business from the demo-ware.

AI on the phones

Two very different things get sold under that heading, and it is worth separating them.

The one we do is call transcription and analysis: calls your people took, turned into searchable text, then read by AI so you can find what was agreed, summarise a long call, or look across a month of them and see what customers keep asking. The phone is where most of what your customers really think gets said, and almost none of it is normally written down.

The one we do not do is an AI voice agent answering your main number. We will not sell you one. Most people ringing a local business are ringing because they want a person, and meeting them with software spends goodwill that is expensive to win back. If that changes, and it might, we will say so plainly rather than quietly.

The groundwork before enabling AI

  1. Access review. Who can see what today. AI search makes forgotten over-sharing visible instantly.
  2. Permissions and sharing hygiene. Fix the structure so tools can only surface what each person should see.
  3. Approved tools. Decide which AI services are in, which are banned, and where company data may go, formalised in a safe AI usage policy.
  4. Training and rollout. Staff learn what the tools do well, what they get wrong, and how to check. Then we roll out in stages, starting where the payoff is clearest.

You walk away with

  • A map of where AI fits your workflow
  • Data-security groundwork done
  • A prioritised, costed adoption plan
  • Trained staff and a managed rollout
FAQ

Frequently asked questions

What does an AI readiness assessment involve?

We sit down with you, map how work actually flows through the business, and identify where AI saves real time, and where it doesn't. You get a prioritised plan: what to adopt, what to prepare first, and what to skip.

Why does data security come before AI adoption?

Because AI tools amplify whatever access already exists. Loose permissions, over-shared folders and forgotten accounts become instantly searchable. We tidy that groundwork before any AI is enabled, and it also makes your business more secure.

Do we need Microsoft 365 to use AI?

No, but if you have it, it's the natural starting point, because Copilot works inside the tools your staff already use. If you're not on 365, we'll assess what fits your actual setup.

How do you handle staff training and rollout?

In plain English, on your real work. Short sessions on what the tools are good at, what they get wrong, and what must never be pasted into them, then a staged rollout so early users become in-house champions.

What does this cost?

Quoted per engagement, since businesses differ wildly in size and readiness. Call 03 5280 8088 and we'll scope it.

The assessment is the difference between adopting AI and just buying licences.
