Every email your business sends is a small piece of marketing and a small legal document, and most businesses let each person design their own. Email Signatures 365 puts one signature on every message that leaves your Microsoft 365 tenancy, from every device, built from the details already in your staff directory and managed by GravIT.

Why email signatures go wrong on their own

Left to individuals, a signature is whatever each person pasted in on their first day. Across a team of twenty that means several logos, a few fonts, at least one phone number that no longer rings, and a disclaimer nobody has read since 2019. Replies sent from a phone carry nothing at all, so the customer who needs your number most, mid-thread and on the move, is the one who does not get it.

None of that is anyone's fault. There has simply been no single place where the signature lives.

How centrally managed email signatures work

The signature is applied as each message leaves your Microsoft 365 tenancy rather than inside the program that wrote it. That one change does most of the work: Outlook on a desktop, Outlook on the web, the mail app on a phone, a shared mailbox and any system that sends through Microsoft 365 all produce the same signature, because none of them is responsible for it any more.

The template draws each person's name, title and direct line from your Microsoft 365 directory. Change a title in the directory and the signature changes with it. When someone leaves, their signature goes with their account. Rules decide the rest: a full signature on the first message and a short one on replies, a different block for internal mail, a different template for a second brand or a particular team.

What a good business email signature carries

  • The person. Name, role and a direct line that actually rings, drawn from the directory rather than typed.
  • The business. Legal name, ABN and address, so the details a customer or a supplier needs are never missing from the one place they look.
  • The notices. Whatever your industry, insurer or contracts expect you to say, agreed once with your adviser and then impossible to leave off.
  • The banner. An award, an event, holiday trading hours, a new service. One image and one link, changed centrally in minutes, seen by the customers who already open your mail.
  • The consistency. The same logo at the same size in the same place, which is most of what "looking professional" turns out to mean.

Marketing space you already pay for

A business of twenty people sends hundreds of emails a day to customers, suppliers and prospects who open them because they are expecting them. A banner under the signature reaches those people without a campaign budget, and because it is managed centrally it can change with the calendar: end of financial year, the Christmas closure, a new service, an award you would like known. Put a link on it and your website analytics will tell you who came from where.

Frequently asked questions

Does it work on phones?

Yes, and that is the point most businesses notice first. The signature is added as the message leaves your Microsoft 365 tenancy, so a reply typed on a phone with no signature at all still arrives with the full company signature. The era of "Sent from my iPhone" under a two-word reply ends the day it is switched on.

Can staff still write their own?

The company block is applied whatever they do, so nobody can send with an old logo or a phone number that changed two years ago. Within the template you decide how much is personal: most businesses lock the company details and leave a small field for pronouns or a line the person chooses.

Where do the names and phone numbers come from?

From your Microsoft 365 directory, the same place Teams and Outlook read them. Job titles and direct lines are often years out of date in there, so the first job is a clean-up. Once the directory is right it is right everywhere, which is a benefit on its own.

Can different teams or brands have different signatures?

Yes. Signatures can differ by department, group, sending domain or mailbox, and shared mailboxes such as accounts@ or support@ get their own. A business trading under two names runs two templates from the one tenancy.

Is a disclaimer legally required?

Australian law does not require a disclaimer on every email, and a disclaimer does not make a message confidential. What a signature should carry is your legal name and ABN, and any notice your industry, insurer or contracts expect. We put in the wording your adviser gives us once, and it is never left off again.
